Klaviyo expert vs agency: what each costs, and when you don't need either

Here's what help costs. A freelance Klaviyo expert runs $40 to $150 an hour, a senior consultant $75 to $200, and an agency $2,000 to $10,000 a month, sometimes more.
The harder question is which one you need. The table below prices the work by task, not by title, and sometimes the answer is nobody yet.

The labels overlap more than the rates suggest
"Expert," "consultant," and "agency" are labels, not job descriptions. A senior freelancer will do strategy, a consultant will build, and plenty of agencies will sell you a one-off project instead of a retainer: an audit, a flow build, a migration.
Contracts vary just as much. Some agencies work month to month while others want three or six months locked in, and the label won't tell you which.

What you can't get done yourself decides what to hire. Four situations cover most stores, and picking the wrong one costs you a retainer you didn't need or months of the wrong work.
You know the job and need hands.
A flow to rebuild, or a template to fix. Hire one freelancer for one job and pay for the work, not a relationship. At $40 to $90 an hour, this is the cheapest real help on this page.
You can't tell what's broken.

You need a team, every week.
Heavy creative, SMS alongside email, a migration, or several brands at once. That's the honest case for an agency: more kinds of work than one person can cover, and a good one earns the retainer.
You can ship, you just can't decide.
You run Klaviyo yourself. You can judge an email and press send. What you don't have is time to dig through your account and work out which send is worth the most this month. That's not a hiring problem; more on it below.
What a retainer has to earn back
Don't run the simple test. "The agency costs $5,000, so it needs to make $5,000" is wrong, because you pay the fee out of margin, not revenue.
Divide the fee by your contribution margin instead. At a 30 percent margin, a $5,000 retainer needs about $16,667 in new revenue every month just to break even.

Seven questions to ask before you sign
The answers tell you more than any case study will.
- Who, by name, works inside my Klaviyo, and how many other accounts do they carry?
- What ships each month? How many campaigns? Which flows? Is design and copy included?
- What costs extra?
- Hourly, fixed project, retainer, or revenue share? And what's the termination clause?
- Which single number tells us this worked?
- How will you separate new revenue from revenue Klaviyo would have credited anyway?
- Can I see one account like mine, with the starting number and the result?
Scope tells you what they'll do. It doesn't tell you whether it worked. You need both.

Is it safe to connect Klaviyo?
- Read-only. It can read your campaign and flow performance. It cannot send, edit, or delete anything in your account.
- No customer data stored. It works from your metrics, not your subscriber list. Names, emails, and phone numbers are never stored.
- Nothing ships without you. Built emails land as drafts for your review; nothing is pushed to Klaviyo on its own. Reading and staging are separate permissions: the audit runs on read-only access, and drafts are staged only if you later grant write access, which still cannot send.
